GOVERNMENT TENDERS BOARD CALENDAR OF MEETINGS FOR THE FINANCIAL YEAR 2011/2012

All Government Ministries and Corporations are hereby advised of the Calendar of meetings of the Government Tenders Board for the current financial year ending 30 June 2012. A copy of the Tenders Board meeting calendar is endorsed herewith for your information.

Please be remineded that all Ministries and Corporations are requested to plan their procurement of goods, works and services ahead to ensure the following requirements are adhered at all times.

• The Government Tenders Board meets weekly on Monday at 11.00am, exept when public holiday falls on Monday, the meeting will then take place the following day which is Tuesday at 11.00am. However, you will be advised accordingly of any further changes to the attached calendar.
• Any invitations for bidding to be closed with the Tenders Board is to be closed on one of the meeting days before 11.00am to endure bids are opened by the Board immidiately after;
• The Secretary of the Tenders Board should be informed in advance of any tenders being advertised by ministries and corporations that will be due for bid opening by the Tenders Board.
• Ministries and Corporations are advised to change due dates of tender submissions in line with the attached meeting calendar of the Board.
• Tender evaluation panel members should be at the senior level - CEO, Deputy CEO, Assistant CEO and Principal Officer, the Board WILL NOT consider any reports that do not meet this requirement.
• Papers/Submissions brought to the Board for its consideration are to reach the secretariat no later than 12.00noon on the Thursday of the week prior to the meeting day to ensure there is ample time to prepare documents for circulation to Board members.
• The requirements of the Public Finance Management Act 2001, the existing level of authorities outlined in the Treasury Instruction B4 Schedule and the Government Procurement Guidelines for Goods and Works and Consultancy Services are to be strictly observed at all times for procurement of goods, works and services.

Please ensure the meeting calendar and requirements are observed strictly to avoid delays in the processing of tenders and submissions.
